Free POS for flower shops: real options and what they really cost

Is there a free POS for a flower shop? Yes: there are point-of-sale programs with a free plan and even a free app from the Spanish tax authorities for invoicing. What almost never exists is a free POS that works for everything a flower shop does: orders with a delivery date, bouquets for someone else, card messages, delivery and deposits. In this guide we go through the real free options available in Spain, what they cost even without a fee and in which cases they’re genuinely enough.

We’ll say it up front

Evoflor has a Free plan forever (orders, customers, recipes, events and online shop, up to 100 orders and 2 events a month), but the POS isn’t on the free plan: the till, receipts and invoices start on Basic, from €39/month. That’s why this article tells you honestly when a free POS is enough.

The free options available in Spain

We’ve grouped the alternatives by how they work, because each brand’s plans and limits change often. Before deciding, check the current terms on each provider’s website.

What a “free” POS costs

The software having no fee doesn’t mean your point of sale is free. Before choosing, do the full maths:

  • Card payment commissions. With a POS that lives off commissions, a flower shop taking €6,000 a month by card pays around €75 a month in software commissions alone at 1.25%, plus the fixed fee per transaction. That’s more than the fee of many paid programs.
  • Hardware. An 80 mm thermal receipt printer, a cash drawer and a card terminal. You pay for those with any POS, free or not, unless the software works on the computer or tablet you already have.
  • Verifactu. In Spain, the software that issues your receipts will have to comply with Verifactu (the law says 2027; the authorities have announced a delay to October 2028, but it’s not yet in the Official Gazette). Ask in writing whether the free plan includes it or whether it’s a paid module. We explain it here.
  • Switching later. If tomorrow you outgrow it, can you get your customers, products and sales out in Excel? The tax authority’s app, for example, doesn’t export records: you’d start from scratch.
  • Your time. It’s the most expensive item and the one least looked at. We cover it in the next section.

Why a free POS falls short for a flower shop

A generic POS is made for selling on the spot: the customer chooses, pays and leaves. In a flower shop, much of the selling works the other way round:

  1. Orders for another day. The bouquet is ordered today by phone or WhatsApp and delivered on Saturday. You need a date, a time slot and for the order to appear on its own on the right day.
  2. The payer isn’t the recipient. Buyer, recipient, address, the recipient’s phone number and the card message. In a generic POS that ends up in the “notes” field or in the notebook.
  3. Delivery. Order addresses need to reach the driver in order, without copying them by hand.
  4. Deposits and part payments. Weddings, wreaths and events are paid in two or three instalments, and the balance needs to be in view.
  5. The cost of each bouquet. Knowing what flowers go into it and what margin it leaves is what separates a flower shop that makes money from one that just turns over. We explain it in flower shop recipe costing.

If you solve all that with a notebook next to the free POS, the software costs nothing, but the hours you spend noting and rebuilding orders do.

When a free POS IS enough

There are cases where it does make sense:

  • A market stall or a shop selling almost only over the counter, with few orders and no delivery.
  • A flower shop just starting out that doesn’t yet know what volume it will have. A free POS works to get going, as long as it lets you export your data and complies with Verifactu.
  • Occasional selling (fairs, All Saints’ Day at a temporary stall) where you just need to take payment and give a receipt.

If your case is different and you have orders every week, your own delivery or weddings and events, a free POS saves you the fee but costs you hours, delivery mistakes and margin you can’t see.

The alternative: try a florist POS for free

If you don’t want to pay before knowing whether it works for you, the sensible thing is to try a POS built for flower shops for free with a normal week’s orders. The Evoflor POS includes the counter, orders with a date and recipient, a daily till, receipts and invoices with Verifactu, customers and connected delivery. It works in the browser of the computer, tablet or phone you already have, with your receipt printer.

Frequently asked questions

Is there a free POS with Verifactu? Yes. Some cloud POS systems advertise that their free plan complies with Verifactu, and the Spanish Tax Agency has a free app that invoices with Verifactu. But the tax authority’s app doesn’t issue receipts (simplified invoices), which is what a flower shop uses most. Always ask in writing whether Verifactu is included in the free plan.

Can I download free POS software for my flower shop? There are installable programs for Windows or Android with a free licence, usually with limits on daily sales or features. Before installing, check who updates the software when the rules change and whether you can export your data.

What do I need to set up a flower shop POS? A computer or tablet, an 80 mm thermal receipt printer if you want paper receipts, a cash drawer if you take cash and a card terminal. With a web-based POS like Evoflor you don’t need to buy any special terminal.

Does a free POS work for simplified invoices? It does if it issues receipts. Your flower shop’s receipt is a simplified invoice and is valid up to €3,000 VAT included for retail in Spain. We explain it in simplified invoices for flower shops.
